In our easy to reach office in Kuala Lumpur, Malaysia, we are seeking for an efficient and experienced Project Secretary / Document Controller to join our team. The successful candidate will take responsibility for managing all office management, organisation and administration duties, and serve as the first line of contact for all project related enquiries, both internal and external.

Your role

This role would suit a confident individual with excellent administration skills and a proven track record of providing first-class organisational support in a document control/project management environment.

Your role

  • Perform all administrative tasks as laid down in the department, team or work procedures
  • File, retrieve, copy, and distribute documents as required
  • Support in document control
  • Familiarise with, update, and work with databases and documents
  • First line of contact for document enquiries, internal and external
  • Collect, implement and use knowhow and experience for the purpose of improving customer service
  • Initiate action to prevent the occurrence of any non-conformities relating to the product, process and management system
  • Organise meetings, book rooms and flights for all members of your project team
  • First line of contact for office related matters (agent, IT, suppliers, etc.)
  • Manage stock levels of stationary and pantry supplies
  • Manage rental apartments for expats
  • Organise team events
  • Miscellaneous tasks to support the ongoing work

What we expect from you

  • Minimum of 3 years of relevant working experience, preferably within an international organisation.
  • Skilled user of MS Office with good knowledge of SharePoint
  • Experience with document control is preferred
  • Track record of delivering to high quality standards
  • Good command of the English language, both written and spoken.
